The brief

What it is.

Know your profit. Skip the accounting.

Kashboard is bookkeeping stripped back to what a small operator actually needs. Drop receipts, invoices and bills in from anywhere — PDF, JPG, HEIC, CSV or forward-to-inbox — and the AI takes a first guess at every transaction. You swipe right for money in, left for money out, roughly three seconds a receipt, and the books are done. The dashboard is three honest numbers: IN, OUT, PROFIT, period-aware across month, quarter, year and TTM, with multi-currency auto-converted across 12 currencies. Under the simple surface it is a real ledger: a searchable, audit-ready receipt vault, an AI chat you can ask "how much did I spend on tools last quarter?" or "who hasn't paid me?", multi-business support from one login, and full tax visibility all year rather than a scramble in July. One click produces a tax-time pack with the P&L, ledger, cash-flow and receipt archive your accountant will ask for, and a separate business sale pack that packages TTM revenue, profit and cash-flow history the way acquirers want to see it. Plans run from Solo at $15/month through Multi and Empire for portfolios of brands, each with a 7-day free trial.

Small business books without hiring a bookkeeper

We are four people and were paying monthly for someone to categorise transactions. Kashboard replaced that line item entirely — we still use our accountant for the return, which is the right split. The reports are detailed enough that she does not ask follow-up questions any more.

    Pros
Cut our bookkeeping cost; accountant seat included; reports detailed enough to stand alone
    Cons
Onboarding a second staff member to the swipe queue took a bit of explaining

Cleared five years of shoebox receipts in a weekend

I bulk uploaded years of backlog expecting it to fall over. It processed the lot, queued everything for confirmation, and I worked through it over a weekend with a podcast on. Now I have a searchable archive instead of three boxes and a drawer.

    Pros
Bulk upload handled a huge backlog; HEIC and phone photos work fine; everything ends up searchable
    Cons
Big backlog uploads sit in processing for a while before the queue is ready

Asking my books questions is weirdly useful

"How much did I spend on software last quarter?" — $412 across nine subscriptions, answered in a second. "Who has not paid me?" — three invoices, $4,320, with a nudge button. That is the kind of thing I would previously have spent twenty minutes filtering a spreadsheet to find.

    Pros
AI chat answers real questions with numbers I trust; unpaid invoice chasing built in; fast
    Cons
Chat message limits on the lower plan come up faster than expected if you lean on it

Exactly right for freelancers who hate complexity

I do not want journals, accruals or a chart of accounts. I want to know what came in, what went out, what is mine, and what my accountant needs. Kashboard answers all four and nothing else, and that restraint is why I still use it six months later.

    Pros
No jargon; three numbers that actually matter; exports my accountant accepts without edits
    Cons
Not the tool if you need payroll or inventory — it deliberately does not go there

Multi-business view is why I stayed

Three brands, one login, and an aggregate view across all of them plus per-business breakdowns. Previously that meant three separate subscriptions and three logins. The Multi plan works out cheaper than what I was paying for one traditional tool.

    Pros
One login across brands; aggregate and per-brand views; cheaper than stacking separate subscriptions
    Cons
Switching businesses mid-session sometimes resets the period filter

    I stopped avoiding my books

I used to let receipts pile up for months because opening the old software felt like homework. Now it is a phone task while the kettle boils. The behavioural change is the actual product — the AI first guess plus a swipe removes the decision fatigue that made me procrastinate.

    Pros
Fast enough to do on a phone; no setup ritual before you can start; AI first guess is right most of the time
    Cons
Mobile layout could use bigger tap targets on the confirm screen

The sale pack is a real differentiator

I am prepping one of my brands for sale and buyers want TTM revenue, TTM profit, cash-flow history and clean supporting records. Kashboard packages exactly that in one click. I had been quoted four figures by a bookkeeper to assemble the same thing. Whether or not you plan to exit, having buyer-ready financials sitting there is a comfortable position.

    Pros
Business sale pack with TTM revenue, profit and cash flow; acquirer-friendly format; supporting receipts included
    Cons
The sale pack assumes one business at a time — combining two brands takes manual work

Tax visibility all year instead of a July panic

The thing I did not expect was knowing my tax position continuously. Every confirmed transaction updates what I am likely to owe, so I can set money aside monthly instead of discovering a number I hate at the end of the year. For a freelancer with lumpy income that is the difference between calm and dread.

    Pros
Running tax picture rather than a year-end surprise; clear in/out/profit; quarter view is exactly what I need for BAS
    Cons
Would like a dedicated tax-savings sub-account or reminder nudge

Simple on top, surprisingly serious underneath

I was suspicious that something this simple would be a toy. It is not. The ledger behind the swipe interface is real double-sided bookkeeping, the receipt vault is searchable and the exports are proper CSV and PDF rather than a screenshot of a dashboard. It is the only tool I have used where the simplicity is a design choice rather than a missing feature.

    Pros
Real exports, not just dashboard screenshots; searchable receipt vault; period toggle across month, quarter, year and TTM
    Cons
AI chat occasionally needs a rephrase before it understands a question

Built for people making money online, not enterprises

Most of my income is Stripe payouts, Shopify orders and a couple of affiliate deposits, and traditional tools choke on that — the gross versus fees versus net thing confuses them. Kashboard splits a Stripe settlement into gross sales, fees and net payout automatically and I just confirm it. Ecommerce and creator income finally reconciles without me writing spreadsheet formulas.

    Pros
Handles Stripe payouts and platform fees properly; multi-currency conversion is automatic; no accounting jargon anywhere
    Cons
Priced per business tier, so if you run six brands you jump a plan

My accountant asked what I switched to

Tax time used to be a shoebox and two weekends. This year I hit the tax-time pack button and sent one file — P&L, ledger, cash flow, every receipt attached. My accountant emailed back asking what I had switched to because it was the cleanest handover she had received all year. That alone paid for the subscription several times over.

    Pros
One-click accountant pack; receipts are attached to the transactions rather than dumped in a folder; audit-ready vault
    Cons
I wish the pack let me customise which date ranges get included without redoing it

Finally bookkeeping that matches how I actually work

I run a two-person design studio and every accounting tool I tried before wanted me to learn chart-of-accounts language first. Kashboard just asks: money in or money out? I forward invoices to the inbox address, drop the card receipts in on Friday, and clear a week in about four minutes of swiping. The profit number on the dashboard is the first time I have known my real margin mid-month instead of finding out in October.

    Pros
Swipe review is genuinely three seconds a receipt; profit is front and centre; forward-to-inbox means I never file anything manually
    Cons
It guesses the wrong category on odd one-off vendors, so I still eyeball the queue
